Summary
Under the direction of the Program Manager, the Project Coordinator will provide support to energy advisors ensuring that information is accurate, files are maintained and continuously reviewed, and provide continuous communication with business contacts.  This position is additionally responsible for managing customer grant processing, informing energy advisors of expiring grants and applications, and assisting customers and clients.

Maintain, update, and add entries to the program databases accurately.  This may require contacting clients and trade allies.
Create organization and maintain a manual permanent project file system.
Help maintain and update additional program spreadsheets relating to project tracking and scheduling of work.
Help contractors and customers to ensure they have the correct information and marketing materials to promote the energy efficiency incentives.
Provide assistance with customer service, scheduling and other issues as needed.
Answer the telephone and assist with mailing materials when needed.

Purpose:  To provide a variety of clerical, technical support and administrative functions to maintain operation for the Interactive Solutions Group (ISG).  This position supports various ISG projects and staff.
 
Duties and Responsibilities:
 
·         As required, schedule appointments for MPHI-ISG staff. 
·         Schedule and reserve facilities as needed for meetings, conferences and workshops and arrange for lunches, snacks and other refreshments.  Prepare and distribute minutes and assist with other meeting follow-up as needed.
·         Compose, type and transcribe letters, agendas, memoranda, meeting minutes, reports, proposals, and forms.  Proofread and correct prepared materials for correct grammar, spelling, punctuation, letter format, and completeness.
·         Copy or arrange for assembly and production of materials as needed.
·         Manage and facilitate phone, fax and mail communications between all buildings that ISG occupies for ISG project staff. 
·         Sort and open incoming mail, retaining those items that can be handled personally and forwarding the remainder to other appropriate MPHI staff while maintaining confidentiality of documents and information received.
·         Assist in operation and maintenance of standard office equipment, such as facsimile machine, copier, postage machine, voice mail, computer equipment and software.
·         Assist with administrative duties including clerical, office supplies and other support duties.
·         Back up assistance with the Interactive Learning Center functions, including room set up, front desk backup, assisting guest/client needs, copying and other duties as necessary.
·         Perform other duties as needed
·         Maintain a positive, strong, credible, professional and interpersonal relationship with all parties relevant of MPHI projects, and represent to the best interest of MPHI at all times.
